How to Prove Ownership of a Former Email Address

You can no longer login to your Swann Security account and cannot reset the password because you lost your old email address. You need to prove you used to own the email address jane.doe@example.com, but you no longer have access to it—perhaps because you left a company, changed providers, or deleted the account. What evidence can you provide to support this claim?

Proving past ownership of an email address is essential for:
- Account login recovery
- Reclaiming access to devices or services
- Legal or compliance purposes.
When you need to verify that you previously used a specific email address, it can be challenging if the account is no longer active. However, there are several types of evidence that can help establish ownership or usage of that email.
✅ Acceptable Evidence to Prove Email Ownership
1. Mailbox Deliverability Check (Used by Swann)
Swann may use an Online Verification Tool to check whether the email address is still deliverable—i.e., whether the mailbox still exists and can receive messages.
⚠️ Note: Some email providers (especially free services like Gmail or Outlook) may not fully deactivate or delete an old email address. Even if the user no longer has access, the mailbox may still appear active or deliverable, which can complicate verification.
2. Email Correspondence
- Sent or received emails from the address, especially those showing your name and context.
- Email threads with known contacts or services that include your signature or identifying details.
3. Screenshots or Saved Messages
- Screenshots of the inbox, email settings, or account profile showing the address.
- Exported emails in
.eml,.msg, or PDF format.
4. Linked Accounts or Services
- Screenshots of accounts (e.g., social media, banking, subscriptions) that show the email was used for registration or login.
- Password reset emails sent to or from the address.
5. Employment Documents (for Work Emails)
- Offer letters, contracts, or HR communications that reference the work email.
- Business cards or internal directories showing your name and email.
6. Device or App Evidence
- Email app screenshots showing the account setup.
- Device logs or backup files that include the email configuration.
7. Professional Profiles
- LinkedIn, GitHub, or other platforms where the email was listed or verified.
- Archived web pages or bios that include the email.
8. Domain Ownership (for Custom Emails)
- If the email was under a custom domain (e.g.,
you@yourdomain.com), domain registration or hosting records can help prove ownership.
⚠️ Tips for Presenting Evidence
- Redact sensitive information if needed, but keep identifying details visible.
- Use timestamps or metadata to support authenticity.
- Provide at least one type of evidence if possible, especially if the email is no longer active.
